Your backup plan needs a recovery conversation

When a file disappears or a system stops working, the business question is immediate: how do we get back to work? A backup plan should help answer that question before you need it.

Name the work you need to recover

List the systems and information that keep the business moving: accounting records, customer files, shared documents, and any specialized applications. Include cloud services in the conversation. Don’t assume that everything your team uses is covered by the same backup plan.

Then put the list in business order. Which service needs to come back first? Which work can continue another way while recovery is underway?

Agree on two practical limits

How much recent work could you afford to recreate? How long could the team work without that system? These answers guide the backup frequency and recovery approach. Different systems can have different needs.

Ask your provider to explain the plan in those terms. A technical description is more useful when it connects to the business interruption you’re preparing for.

Ask to see a restore test

A successful backup report and a successful restore answer different questions. Plan a controlled test with your IT partner: recover a representative file or system, check the result, and document what worked and what needs attention.

CISA recommends maintaining protected backups and regularly testing their availability and integrity. Review who can change or delete backups, and how the recovery process would work if normal administrator access were unavailable.

Write down who does what

Name the person who starts recovery, the contact who can approve decisions, and the way the team receives updates. Keep a usable copy of the plan somewhere you can reach if a normal system is unavailable.
